Our project management process

We apply strategic processes and procedures to ensure the successful delivery of any property or construction project. We take the lead and manage all related processes – from the early acquisition and planning stages through design development, tendering and construction to project close out.

Acquisition & initial stages
In the early stages of a new project, we’ll conduct feasibility and viability studies to identify project strengths and weaknesses – ultimately ensuring the project is profitable and will achieve your requirements.

We then assist in developing your brief by establishing the project’s objectives, priorities and constraints, including identifying any potential risks. We can also assist in identifying suitably qualified consultants, developing a procurement strategy and generating an indicative project timeline.

Planning, design & tendering stages
During these stages, we compile a project execution plan, clearly articulate the project brief to the appointed consultants and facilitate the development of the concept design. Once the project is deemed feasible and the concept design approved, we will oversee the design development process – ensuring the detailed design is created within scope, time, cost and quality constraints.

Next, we coordinate the tendering process by preparing the tender documentation in consultation with the designer and cost consultant. We then manage the process – identifying suitable contractors, calling for tenders and formally responding to any queries raised. Finally, we’ll obtain advice from the cost consultant and adjudicate tender submissions before issuing a recommendation to you for approval.

Construction stage
We look after the management and administration of the construction contract and processes to facilitate successful execution of the works. Under the NZS3910 contract, we’ll also fulfil the function of Engineer’s Representative and assist the Engineer to the Contract in administering the construction contract. Prendos senior project managers are also well versed in the role of Engineer to the Contract and can fulfil this function as part of our professional service.

We are responsible for coordinating the project team throughout the construction phase – appointing contractors on your behalf, reviewing contract documentation, handing over the site, developing project protocols, attending site and chairing meetings, attending to issues raised, responding to requests for information, issuing instructions, monitoring contractor performance and managing the programme. We’ll also ensure risk mitigation measures are implemented on site, quality is monitored, non-conformances are addressed and legislative compliance is adhered to – including health and safety. We will provide you with regular progress updates and keep project stakeholders informed at all times, including project cost reporting and management.

Close-out
We are also responsible for closing out the project – obtaining all handover documentation (certificates, warranties, as-builts, O&M manuals etc) before a Practical Completion Certificate is issued. We will monitor the defect liability period and ensure any defects are rectified by the contractor before the Final Completion Certificate is issued. Once all requirements have been met, we will prepare a project close out report for review, discuss lessons learned and gather any performance feedback.
